
Provider policy

The present page summarises the main policies about cancellation and refund of Reservations made on the Platform.
These policies apply to all Experiences listed on the platform, with the exception of the Experiences where the specific policies of the Provider prevail, as specified in the section “Payment and Cancellation” inside every Experience page, if applicable.
This document forms an integral part of the General Terms and Conditions.
Key terms
Provider: is a user - registered on the Platform - enabled to list Experiences.
Traveller: is a user - registered on the Platform - interested in taking part in the Experiences proposed by Providers.
Minimum crew: it’s the minimum number of people that must participate in the Experience in order for it to be Confirmed. This value is defined by the Provider at the time of the creation of the Experience itself.
The Provider may NOT change this number after the listing of the experience, but he/her can confirm it, regardless of the number of participants.
Confirmed Experience: a Confirmed Experience is an Experience whose departure has been confirmed by the Provider that organizes it who, therefore, commits him/herself to carry it out.
An Experience can be in Confirmed status since its creation, or switch to Confirmed later on. When an Experience that was not previously confirmed switches to Confirmed, all Travellers taking part in the Experience receive an email notification of such change of state.
Note: A Confirmed Experience is up to 70% more likely to receive bookings from Travellers, on the other hand he/she who organises it is bound to carry it out, regardless of the actual number of participants at the time of departure.
Experience Price: the fee due to take part in an Experience, expressed as price per person and/or, for sailing experiences only, as the price to reserve the whole boat.
Fees collection and payments
When you organise an Experienceon Sailsquare, you have to define how many people make up the minimum crew - i.e. the minimum number of participants in order for the Experience to be confirmed and, therefore, commit yourself to carry it out - and how much is the Experience Price.
Sailsquare is responsible for collecting the individual participation fees from Travellers taking part in the Experience on your behalf and turning them to you, after deducting the cost for using the Platform (the “Provider Service Fee”), within two working days after the Experience departure.
Please note: A Traveller who makes a reservation for an Experience more than 45 days before the departure date can choose to pay a deposit amount of 30% of the Experience Price and pay the balance within 30 days from the departure date.
Cancellation of a booking by the Provider
Unconfirmed Experience
If, for some reason, you are forced to cancel an Experience that you’ve planned and this Experience it’s not Confirmed - you can cancel the Experience at any time without having to pay any penalty.
Confirmed Experience
If for some serious reason, you are forced to cancel an Experience that you are organising, and this experience has already been Confirmed, you must notify us immediately. In such cases Sailsquare will cancel the Experience and return Travellers the amount paid.
Anyway, you will be charged the Provider Service Fee on reservations made by Travellers up to that point.
Cancellation of a booking by the Traveller
As long as the Experience is Not Confirmed, the Traveller may choose to cancel their booking at any time. In this case, if the Traveller cancels, Sailsquare will refund the Traveller the amount previously paid for the booking.
If the Experience is Confirmed, the Traveller may choose to cancel the booking up to 30 days before the departure date. The Traveller will be entitled to a refund of the booking. If there are less than 30 days before the departure date of the Experience, the Traveller will not be entitled to a refund of the cancelled booking; the Traveller's payment will be retained and paid to you along with the other participation fees, less the Service Fee charged to the Provider. In return, you agree to keep the Experience Confirmed.
In the event that the Traveller has chosen the instalment payment scheme for the Experience and he/she does not pay the balance within the due date, his/her reservation will be cancelled, and the associated spots will be available to be reserved again on the Platform. In this case, the deposit amounts already collected on your behalf will still be paid to you, net of the Provider Service Fee.
